ToolboxID ("Company," "we," "us," or "our") operates the ToolboxID website, platform, and related services (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use any part of our Service, whether as a contractor applicant, a verified contractor, a consumer, or a general visitor.

ToolboxID is an independent third-party contractor verification and directory platform. We are an information service; we do not guarantee, certify, or endorse any contractor listed in our directory. By accessing or using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not access or use the Service.

2. Information We Collect

2.1 Information You Provide Directly

When you apply for verification, create an account, or otherwise interact with the Service, we may collect the following categories of information:

  • Contractor Application Data: Business name, owner name, mailing address, phone number, email address, trade categories, years in business, and other details submitted on the application form.
  • Verification Documents: Copies of licenses, insurance certificates, bond documentation, and other credentials submitted as part of the verification process.
  • Payment Information: Credit card or other payment details processed through our third-party payment processor. We do not store full payment card numbers on our servers.
  • Account Credentials: Username, email address, and hashed password.
  • Communications: Messages, emails, or other correspondence you send to us.

2.2 Information Collected Automatically

When you access the Service, we may automatically collect certain information, including:

  • Device and Browser Data: IP address, browser type and version, operating system, device identifiers, and screen resolution.
  • Usage Data: Pages viewed, links clicked, time spent on pages, search queries entered, referring URLs, and other interaction data.
  • Cookies and Tracking Technologies: We use cookies, web beacons, pixels, and similar technologies to collect information about your activity and to remember your preferences. See Section 7 below.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To process and review contractor verification applications.
  • To operate, maintain, and improve the Service, including the contractor directory.
  • To process payments and fees, including expedited processing fees.
  • To communicate with you regarding your application, account, verification status, or customer support inquiries.
  • To display verified contractor information in our public directory.
  • To detect, investigate, and prevent fraudulent applications, unauthorized access, or other illegal activities.
  • To enforce our Terms of Service and other legal agreements.
  • To send administrative notices, updates, and promotional communications (you may opt out of promotional emails at any time).
  • To conduct analytics and research to understand how the Service is used and to improve user experience.
  • To comply with legal obligations and respond to lawful requests.

4. How We Share Your Information

4.1 Public Directory Information

If your contractor application is approved, certain information will be displayed publicly in the ToolboxID directory. This includes your business name, trade categories, general service area, verification status, and ToolboxID number. By submitting an application, you consent to the public display of this information.

4.2 Service Providers

We share information with third-party service providers who perform services on our behalf, such as payment processing, data hosting, email delivery, analytics, and customer support. These providers are contractually obligated to use your information only as necessary to provide services to us and in accordance with this Privacy Policy.

4.3 Verification Sources

We may share limited applicant information with licensing boards, insurance providers, and other verification sources solely for the purpose of confirming credentials submitted during the application process.

4.4 Legal Requirements

We may disclose your information if required to do so by law, in response to a subpoena, court order, or other governmental request, or when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

4.5 Business Transfers

If ToolboxID is involved in a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of its assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our website of any change in ownership or uses of your personal information.

4.6 With Your Consent

We may share your information for any other purpose with your express consent.

5. Data Retention

We retain your personal information for as long as your account is active, as needed to provide you the Service, or as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. Contractor verification records, including application data and verification documents, may be retained for a minimum of seven (7) years following account closure or badge revocation for legal and compliance purposes. Anonymized or aggregated data that can no longer be associated with an individual may be retained indefinitely for analytical purposes.

6. Data Security

We implement commercially reasonable administrative, technical, and physical security measures designed to protect your personal information from unauthorized access, disclosure, alteration, and destruction. These measures include encryption of data in transit (TLS/SSL), access controls, and regular security assessments.

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee its absolute security. You are responsible for maintaining the confidentiality of your account credentials.

7. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to collect and track information and to improve and analyze our Service. The types of cookies we use include:

  • Strictly Necessary Cookies: Required for the Service to function properly (e.g., session management, authentication).

ToolboxID does not sell personal information in the traditional sense; however, certain data-sharing activities (such as analytics) may qualify under some state privacy laws.
  • Non-Discrimination: We will not discriminate against you for exercising any of your privacy rights.

To exercise any of these rights, please contact us using the information in Section 13 below. We will respond to verifiable requests within the timeframes required by applicable law (typically 30 to 45 days).

9. California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act (as amended by the California Privacy Rights Act) provides you with specific rights regarding your personal information. In the preceding 12 months, we may have collected the following categories of personal information: identifiers, commercial information, internet or network activity, geolocation data, and professional or employment-related information.

California residents may request to know what personal information we have collected, request deletion of personal information, request correction of inaccurate personal information, and opt out of the sale or sharing of personal information. You may exercise these rights by contacting us as described in Section 13.

10. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information.

The Service may contain links to third-party websites, services, or applications that are not operated by us. If you click on a third-party link, you will be directed to that third party's site. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.
